Full Time Guest Services

Warren Collection Belfast is looking for a full-time Receptionist to join its team. If you are passionate about great customer service, then this may be the right role for you.

Job duties include:

  • Managing the booking process ensuring all relevant details are taken and the customer journey is personalised
  • Make the customers’ stay a memorable experience by providing excellent service, communication and administration
  • Answer the phone, take reservations and deal with any enquiries
  • Be detail oriented to ensure that all booking details and relevant reports are accurate and communicated to other departments.
  • Prepare daily reports as required
  • Manage guest payments, invoices, receipts and reconcile shift transactions
  • Manage comprehensive hand over to following shift.
  • Communicate closely with Housekeeping on room departures, stayovers and arrival rooms for cleaning and opening of sofa beds.
  • Report maintenance items to the maintenance log book.
  • Ensure guest satisfaction at all times.

Part Time Night Porter

Warren Collection Belfast is looking for a part-time Night Porter to join its team. If you are passionate about great customer service, then this may be the right role for you.

  • Focus your total attention to the customer
  • Conduct hotel door checks
  • Conduct security hotel walk rounds, including, Car Parks, corridors and outlets
  • Complete all relevant paperwork required by each shift
  • To assists guest with requests as required with directing guests to their rooms, luggage handling, car park procedures and guest amenities
  • Maintenance work when required
  • Conduct checks on all 3 properties
  • Must hold a valid driving license and own a car
  • Must be over 21 years old

Job Type: Part-time
Part-time hours: 18-24 hours.

Hotel Assistant Manager

The Warren Collection Belfast is looking for a Hotel Assistant Manager, to oversee various departments, ensure exceptional guest experiences, and maintain high standards of service and hospitality. The assistant manager, reporting to the General Manager will provide leadership, guidance, and support to the hotel staff while assisting in the overall management of the property.

More About The Role

  • Manage the department through short-term measurable objectives, to continually improve the performance and profitability of reception
  • Inspect and ensure all public areas and leisure areas are always to the exacting standards of hygiene and cleanliness and maintained
  • Ensure that arrivals/departures are managed smoothly, efficiently, and with high levels of customer care and that the correct registration procedure is adhered to Managing the Department’s rota, ensuring adequate staff numbers to meet forecasts and business needs
  • Posting of charges, receiving payments, issuing receipts, and the correct usage of the PDQ machine following company accounting guidelines
  • Managing paperwork for future arrivals, making sure the information on the registration card is correct, pre-payment made, and allocations match the guest’s requirements
  • Communicating with the guests, checking satisfaction, resolving conflicts, and coaching the team to improve departmental hospitality performance
  • Have knowledge of the type of stays available and special offers that are running, communicating them to the team
  • Establish corporate business opportunities within the hotel, for room business and event business. Support other corporate sales activities in the hotel
  • Ensure all staff have an understanding of the telephone system, accepting external and internal calls and transferring to correct departments and guests’ rooms
  • Ensure all staff are able to balance the banking at the end of the shift
  • Ensure all arrivals, departures, and room moves are completed

Qualifications and Skills

  • Previous experience in a supervisory or assistant management role within the hospitality industry, preferably in a hotel setting.
  • Strong leadership and team-building skills, with the ability to motivate and inspire a diverse workforce.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Exceptional customer service skills with a passion for providing memorable guest experiences.
  • Solid understanding of hotel operations, including front office, housekeeping, food and beverage, and maintenance.
  • Proficiency in using hotel management software and other relevant computer systems.
  • Strong organizational and time management abilities, with the capability to handle multiple priorities effectively.
  • Knowledge of local regulations, health and safety standards, and industry best practices.

The hotel assistant manager position requires a dynamic individual who can demonstrate strong leadership, problem-solving skills, and a commitment to delivering exceptional service. By effectively supporting the general manager and overseeing hotel operations, the assistant manager contributes to the overall success of the hotel and the satisfaction of its guests.
